Software for therapists
Business software built for therapists and counselling practices.
Fusion Flow gives therapists, counsellors and psychologists a Zoho-powered system for managing client enquiries, session scheduling, rebooking automation and invoicing — reducing admin without compromising client confidentiality.
Why therapists choose Fusion Flow
The market
Therapy practices are built on continuity, not on enquiries.
Most private practices could fill their diary tomorrow. What they struggle with is the gap between a first enquiry and a booked session, and clients who stop attending without ever saying that they have.
The first contact is the hardest step the client takes
Someone who has finally sent an enquiry is at their most likely to change their mind. A prompt, warm reply with a clear next step converts far more of those enquiries into first appointments than a considered response two days later.
Regular slots make the practice viable
Weekly or fortnightly sessions at a fixed time give both the work and the income structure. Ad hoc booking fills the diary unevenly and makes it much harder to know whether you are actually full or simply busy this week.
Insurers and EAPs pay differently
Insurer and employee assistance work brings referrals without marketing, but at set rates, with authorisation codes and session limits to track. Mixing that with private clients means knowing which is which before the session, not when the payment fails to arrive.
The problem
What's holding most
therapists back.
New client enquiries not responded to promptly
A person reaching out for therapy is often in a difficult moment. A slow response can lead them to seek help elsewhere — or not seek it at all.
Session gaps not filled proactively
Cancellations and session gaps could be filled from a waitlist if that list were managed systematically — instead they remain empty.
Block bookings and packages not tracked
Therapists who sell session blocks or packages need to track sessions used and prompt clients to rebook when their block is running out.
Invoicing private clients inconsistent
Private therapy clients need to be invoiced consistently and promptly — something that's easy to defer when you're between sessions.

FAQs
Questions about Fusion Flow
for therapists.
How does client confidentiality work within Zoho?
Zoho is ISO 27001 certified and GDPR compliant. Clinical notes are kept in your separate clinical records system — Fusion Flow handles scheduling and admin only, not session notes.
Can it handle EAP and insurance-funded sessions separately?
Yes. We configure separate session types for private pay, EAP and insurance-funded work with appropriate invoicing for each.
Can it manage a group practice with multiple therapists?
Yes. We configure individual therapist records with their own client lists and availability, managed under one practice account.
How long does setup take?
Most therapy practices are live within 1–2 weeks — setup is straightforward and configured around your specific working practice.
Can client information be kept confidential and access limited?
Yes. Records can be restricted so only you see clinical notes, with permissions set per user if you work in a group practice. Booking and billing information can be handled separately from session content.
Can it track insurer authorisations and session limits?
Yes. Authorisation references and the number of approved sessions are held on the client record, with a warning as the limit approaches, so you can seek an extension before working sessions that will not be paid for.
How much does Zoho One cost?
Zoho One bundles the full suite of 45+ integrated business apps for roughly £37–£45 per user per month, depending on your plan and headcount. That includes a professional mailbox on your own domain, so most businesses can drop their Google Workspace or Microsoft 365 licences altogether. We break the numbers down in our guide to Zoho One pricing in the UK, or talk to our Zoho team about the right plan.
